Carbondale Chamber & Tourism Office & Operations Coordinator / Executive Assistant, Part-Time

Position Overview:
The Carbondale Chamber of Commerce is seeking a friendly, organized, and motivated self-starter to join our team as the Office & Operations Coordinator/Executive Assistant. This part-time, in-person position plays a vital role in supporting the day-to-day operations of the Chamber, while engaging with members, community partners, and visitors.

Under the direction of the President/CEO, this role supports administrative functions, membership engagement, visitor services, and bookkeeping tasks. The ideal candidate has strong interpersonal skills, excellent communication abilities, enjoys working collaboratively, has a passion for community service, and thrives in a dynamic environment. Occasional evening and weekend hours may be required for events.
 
Key Responsibilities Include:
Membership Support:

  • Coordinate and manage Chamber events and registration, including Business After Hours, quarterly luncheons, and Annual Business Confluence
  • Create and distribute member eCommunications using Constant Contact and ChamberMaster
  • Promote membership benefits and opportunities to prospective and existing members
  • Prepare welcome materials for new members and manage renewals
  • Maintain accurate and up-to-date member records in collaboration with the President/CEO
Bookkeeping Support:
  • Assist with processing accounts payable and receivable
  • Record and process member dues, event fees, and other incoming funds
  • Support the Staff Bookkeeper with remote bank deposits and administrative tasks
Visitor Services & Office Management:
  • Greet and assist walk-in visitors and callers with warmth and professionalism
  • Distribute visitor information and brochures
  • Maintain and organize informational materials and visitor displays
  • Oversee office supplies and manage internal documentation systems (Dropbox, Google Drive, shared drives)
  • Provide administrative support to the President/CEO, Staff Bookkeeper, and Chamber and Tourism Boards
What We’re Looking For:
  • Previous experience in a non-profit, customer service, administrative, or membership-based role
  • Strong communication skills with a friendly and professional demeanor
  • Ability to multitask, stay organized, and maintain attention to detail
  • Advanced computer literacy, including email marketing platforms and cloud storage tools
  • Basic bookkeeping knowledge is a plus
  • Self-motivated with a strong work ethic and commitment to teamwork
  • Familiarity with the Carbondale community and business landscape is a bonus
Compensation & Benefits:
  • $25–$27/hour, based on experience; average work week: 28 hours/week
